CAGG committee, 2015-03-07
Minutes
Minutes of a CAGG committee meeting held at Trembraze on 2015-03-07. Readership is CAGG members.
Present:
Peter Jackson Calum Beeson Pat Fitzsimmons Tina Hitchings Brigitte Mann
The meeting was informally chaired by Pat Fitzsimmons.
Insurance
PF has arranged public liability insurance which covers up to £5x106 and costs £79.50 per year.With this cover, we can use the term "field trip" rather than "field meeting".
We should carry out and document a risk assessment for field trips. This is good practise and necessary to comply with the requirements of the insurance. CB agreed to do these for all the trips he arranges.
AGM
Prior to the AGM we should complete the programme for the coming year.CB said that because 2015-04-04 is an Easter Weekend we should break the usual sequence of local/remote field meetings and make that one local, with more distant trips on 2015-05-02 and 2015-05-30. They are close to Bank Holidays as well, but that's less of a problem than the Easter break.
PF has contacted Jonathan King, who is an Engineering Geologist that does field trips. He said that we might be interested in a bespoke tour of Churchtown Farm near Saltash. He's not currently prepared to do a presentation but might be later in the year - perhaps 2015-09-05.
Our financial state is good and we can afford some paid speakers.
The agenda for the AGM will be:
- Financial statement;
- Summary of the past year;
- Block re-election of ongoing committee members;
- Election of new committee members.
The annual subscription will be unchanged. Membership will run from AGM to AGM with the intent of holding an AGM every March.
Committee members:
- CB intends to continue in the role of education and training officer;
- BM is resigning from the role of publicity officer, leaving a vacancy;
- HT has already resigned from the role of Chair, but we have agreed that this role is dynamic and will be assigned to different committee members as required;
- PF intends to continue as Treasurer;
- PNJ intends to continue as Secretary.
- TH intends to continue as Membership Secretary.
The issue of removal of committee members was discussed. There will be an agreed maximum number so committee membership can be contested even if not all committee members have specific roles.
PF suggested that we might benefit from having someone in the specific role of "Speaker Secretary", who would be responsible for maintaining the annual programme and looking after the needs of external speakers at meetings.
Our aim is to have a committee of 7 members and a quorum of 4.
Incentive to join
It is desirable to us to have people join the CAGG rather than just turn up to meetings. Having members provides us with a useful and more predictable annual boost to funds.It was agreed that we would change our charges so that attendance of talks or field meetings would cost £1 for members and £3 for non members. There will be no charge for accompanied children. The field meeting charge is no longer a voluntary donation.
Equipments
CB has offered to supply student notebooks and perhaps other equipments to students through CAGG. We are covered by product liability insurance. This is approved by the committee.We should produce an equipment list for new members, including maps. County Maps and Minerals are no longer trading in Truro. UKGE remain a possible supplier.
Next meeting
At Tregarthwin, Darite on 2015-04-24, 19:30 BST, to be chaired by Pat. The agenda to include:- Review AGM
- Constitution
- Residential field trip plans

Reading the Hurlers
Regardless of the main project, some geophysical measurements
will go ahead. The aim is to carry out the bulk of the project
during the summer, even if that means delaying until 2016.
Offers of funding are resilient to that sort of delay. The optimum
window is between 2015-06-12 through 2015-09-11, when
CB has the most free time.
Someone from CSM has agreed to work on data processing. Their
background is chemistry rather than geology, which is valuable to reduce
bias.

For the double stone row, he can borrow an EM31 magnetometer and some students. This penetrates to about 6m and only requires Duchy permission to use as there is no ground disturbance involved.
