Minutes

Minutes of a Caradon Amateur Geology Group committee meeting held on 2016-07-29. Readership is CAGG members.

Present:

Apologies:

The meeting was chaired by PF.

Agenda

There was no advance agenda. An attempt was made to construct one. PF said that she would be away a lot towards the end of the year and would be concentrating on RTH before that, so we should discuss programme plans for 2017.

Previous minutes

Accepted as accurate.

Outstanding actions:

Programme

Kingsley Rickard is booked for 2017-04-21 for a presentation about 33As. He will charge £40.00.

For 2017-01-20, PF proposes a "Thankyou party", involving "rock bingo" as a social evening instead of a talk. For this, PF will organise comestibles and CB the entertainment, including the "rock bingo" and a reprise of his crystal structure demonstration.

We don't yet know dates to offer Jonathon King, so NFA about him for the present (his talk would be about his career as an engineering geologist).

CB will be available for the meetings on 2017-03-17 and 2017-05-19 and probably for the Field meeting on 2017-03-04, though probably not for 2017-04-01. He suggests that for Field Meeting dates when he is unavailable we could plan mining site visits or Carnglaze.

Action: CB to produce programme covering 2017-01 thru 2017-04 in time for distribution at the October CAGG meeting.

Programme for the rest of 2017 should be available at the AGM in 2017-03.

Finance

We hold £38.50 in cash and have £1044.44 in the bank.

Agreed to increase CB's standard expense rate from £10 to £15. (Handed to him during this discussion)

Production of leaflets

We think that we should continue efforts to raise our profile.

CB has investigated pop-up banners for indoor use. They come in a tube and extend to 2x1.5m. We don't need long term ones because we'd like to change their contents over time. Less robust ones are also cheaper, costing about £35 and might last a year. Perhaps we could charge other organisations a small sum (£10?) to occupy small sections of the banner.

Outdoor banners, designed to cope with wind, are more expensive - of the order of £150.

Action:

There was a discussion about social media, noting that it must be actively moderated and so requires a commitment of time. It would also require a documented policy. There is actually an active CAGG Facebook page in existence, which we think was set up by Kevin Wright, though the page content gives no clue about that. This is potentially problematic as something happening in our that we don't actively monitor and have no control over its content.

Action: TH to investigate how this page is administered.

Risk assessments

Our insurance requires that we carry out risk assessments for our field meetings.

CB provides a blanket risk assessment for his student trips and will do a similar one for CAGG trips. We can then take a copy with us on trips as a prompt for us to remind attendees of the the risks they are about to encounter and to review exceptional risks associated with specific trips.

Reading the Hurlers status

PF said that the surveys are going very well.

Images of the Hurlers stones have been made by ES and CB. The rest of the photography will be done in 2017, based on the results of the survey data.

Avoid surveying possible archaeological stones because this could compromise the data. These can be dealt with in further projects.

Processing of the images is done with existing geological software.

Next meeting
